1. Overview
Response Line (“ResponseLine”, “we”, “us”, “our”) provides an emergency response coordination platform. This Privacy Policy applies to our websites, applications, and related services (the “Service”).
2. Roles: Customer and ResponseLine
When an organization uses ResponseLine, that organization is typically the “Customer” and controls the incident and operational data entered into the Service. In many cases, ResponseLine acts as a service provider/processor on behalf of the Customer. If you are an end user (for example, a dispatcher or responder), please also consult your organization’s policies for how they use the Service.
3. Information we collect
Depending on how you use the Service, we may collect the following categories:
- Account and profile information: name, email address, phone number, organization, roles/permissions, and account identifiers.
- Incident and operational data: incident details, notes, statuses, timestamps, assignment events, and communications (including messages and attachments) entered by users.
- Location and device data: approximate or precise location (where enabled), device identifiers, mobile OS type, app version, and sensor/network information required for real-time features.
- Usage and log data: pages/screens viewed, actions taken, IP address, timestamps, and diagnostic logs to help maintain and secure the Service.
- Support data: help requests, email communications, and any screenshots or files you submit.
4. How we use information
We use information to:
- Provide, operate, and maintain the Service (including real-time dispatch, routing, and notifications)
- Authenticate users and enforce access controls
- Send service communications (for example, account notices, operational alerts configured by the Customer)
- Provide customer support and respond to requests
- Monitor and improve performance, reliability, and user experience
- Detect, prevent, and investigate security incidents and abuse
- Comply with legal obligations and enforce our Terms
5. Legal bases (where applicable)
Where required, we rely on legal bases such as performance of a contract (providing the Service), legitimate interests (security and improvement), consent (for optional features like precise location where required), and compliance with legal obligations.
6. Sharing and disclosure
We may share information in the following situations:
- With the Customer: to provide the Service and enable administrators to manage users and incidents.
- Service providers: vendors that help us host, store, secure, analyze, or support the Service. They are authorized to process information only as needed to provide services to us.

- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.
7. Data retention
We retain information for as long as necessary to provide the Service, meet contractual requirements, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and Customer configuration. Customers may have administrative controls to export or delete certain data.
8. Security
We implement reasonable security safeguards designed to protect information from unauthorized access, alteration, or disclosure. No security measures are perfect. Customers are responsible for appropriate user access management, device security, and operational procedures.
9. International transfers
Information may be processed in countries other than where you live. Where required, we use appropriate safeguards for cross-border transfers.
10. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information, and to object to certain processing. If you are an end user, you should typically make requests through your organization (the Customer). You may also contact us directly using the information below.
